Papyro

Everything your team needs — only the modules you choose, on your own server.

Boards, docs, chat, video rooms, help desk, HR and more: pick what you need from 18 modules and add the rest over time. Modules, roles and menus switch on and off to fit your business. No per-user fee, no third-party cloud; your data never leaves your server.

We run our own business on Papyro every day — setup, migration and support from RMOS.

From seven subscriptions to one app

Every job your team does lives in a separate tool. And each one is a separate subscription. The bigger the team, the bigger every bill. And your data is spread across seven providers' clouds. Papyro gathers these tools into one app. Each one is a module: turn on what you need, add more later. It all runs on your own server; your data stays in. The team grows, the licence stays the same: no per-user fee. Try Papyro in the live demo.

What it replaces

One licence · one app · your server

Modular licensing

Start with what you need, expand over time.

Papyro is modular: 18 modules including boards, docs, chat, rooms, help desk, HR and more are selected and licensed to fit your needs. You can start with a small scope and add modules over time; we define the scope and licence contents together.

Let's scope it together

Deployment options

On your own server, or managed by RMOS

Papyro works the same either way; the only difference is who looks after the server.

Which one fits you? Let's talk

On your own server

Your infrastructure; we support installation and migration.

  • Docker Compose deployment — Linux server or VM
  • Installation, data migration and initial setup support
  • Data, backups and updates under your control
  • Runs in closed (air-gapped) networks
For teams that don't want to run a server

Managed by RMOS

Hosting on a server dedicated to you; RMOS runs the operations.

  • Installation, updates and operations handled by RMOS
  • Single-tenant (dedicated) deployment; not a shared cloud
  • Monitoring, security patches and daily backups
  • Migration to your own infrastructure supported on request

Boards

Plan the work, then watch it move

A kanban board built for real teams — lists, cards, and everything a task actually needs, all on your own server.

Boards01/18

  • Lists, cards & columns

Organise work into lists with drag-and-drop cards; lock a column's position when its order matters, and colour-code columns and cards.

  • Checklists, subtasks & labels

Break a card into checklist items and subtasks, tag it with labels, assign it to several people; progress shows on the card itself.

  • Card links & blocker notes

Connect related cards across boards; when one card blocks another, write the reason and the severity right on the card.

  • Kanban or table, same board

Flip a board into a spreadsheet view with one click; filter by assignee, priority or due date. Your filters are remembered next time you open it.

  • Due dates, attachments & duplication

Put a date on a card, attach a file, duplicate a card that repeats, or forward the card as-is into chat. A reminder lands the day before the deadline.

  • Custom fields & description history

Define your own fields and options per board; every state of a card description is kept as a version, so you can go back any time.

  • Customer-stage mode

Run the same board as a sales or onboarding pipeline: stages are columns, customers are cards.

  • Search, archive & short card keys

Find any card on any board with text search, see who archived what and when, and restore deletions from the trash. Reference a card from anywhere with a short key like PR-12.

Documents

Documents that hold your team's knowledge

A rich editor with the depth of a wiki — version history, comments and public sharing, none of it leaving your server.

Documents02/18

  • Rich editor

Slash commands, tables, images, syntax-highlighted code blocks, callouts and collapsible sections — a fast editor that gets out of your way.

  • Version history

Every save becomes a version. Compare today's document with any earlier state and restore it with one click.

  • Comments & replies

Leave a comment right next to the text you're discussing and talk it through in threads; you can see live who else is in the document.

  • Public share links

Publish a read-only page; give the link an expiry date and revoke it whenever you want. Admins see every open link in a single list.

  • Spaces for teams and clients

Group documents into spaces with their own membership, so a client folder is visible only to the people working on that client. Personal documents stay yours alone.

  • Export, templates & favourites

Download a document as Markdown or PDF; turn a structure you use often into a template, and keep the documents you return to daily in your favourites.

  • Links and table of contents

Link documents to each other with @; under every document, the documents linking to it are listed automatically. A table of contents generated from the headings keeps long texts navigable.

  • Lock and per-person access

Lock a finished document; open a single document to specific people with view or edit permission. Even if the tab crashes, your draft survives.

Data grid

A spreadsheet that answers questions

A grid built for large datasets lives inside your documents — and you shape it by describing what you want to see, not by hunting through menus.

Data grid03/18

  • Built for thousands of rows

Sort, filter and scroll through datasets an ordinary table gives up on. Advanced features such as pivot and grouping are included on RMOS-managed installs; on your own server they unlock with your own AG Grid licence.

  • Group, pivot, aggregate

Row grouping, pivoting, aggregation, column visibility and sizing — the operations you would normally export to Excel to get, inside the document. Take the result back out as Excel.

  • Describe the view you want

Say it in plain language and the grid rebuilds itself: "show everything above 100", "group by region". Usage is protected by per-person minute and daily limits.

  • Inside the document, not beside it

The data grid is a block within a document, so the numbers and the commentary about them live in the same place — and inherit the document's permissions.

Chat

Conversation, right next to the work

Direct messages, groups and channels with the polish of a modern messenger — and the privacy of your own server.

Chat05/18

  • DMs, groups and channels

One-to-one messages, admin-managed groups and team channels, including adding members, renaming and leaving. Saved messages for notes to yourself.

  • Reactions, mentions & forwarding

React with emoji, call a teammate with @; forward a card or a document into chat and it arrives as a card, not as plain text.

  • Typing, read receipts & unread

See who's typing and who has read what; per-conversation unread counts mean you never lose your place.

  • Pins and priority messages

Pin the message the conversation keeps coming back to; mark a message important or urgent. Keep announcement channels admin-only.

  • Messaging policy

Decide org-wide who may start a direct message; block messaging between two departments; and let anyone block someone they'd rather not hear from.

  • Polls

Open a poll in a channel and watch the votes come in live; decisions don't wait for a meeting.

  • Files, PDFs and video

Images appear as tiles, PDFs open inside the app, video plays in the conversation; no file ever leaves your server.

  • Chat on every page

Open several conversation windows at the bottom right, minimise and rearrange them; they stay put across page reloads. Drafts are kept per conversation.

Notifications & presence

Informed even when the app is closed

Mentions, assignments, card moves, SLA alerts and close to 50 event types — in the bell panel inside the app, or as a notification on your phone or computer when the browser is closed. Who is online and who is typing is visible instantly.

Notifications & presence06/18

  • Close to 50 notification types

Mentions, card assignment and moves, comments, leave approvals, SLA breaches, callback times, bookings — all in one panel, with read state.

  • Notifications with the browser closed

A system notification lands on your phone or computer; no extra app to install, permission is one click.

  • Per-type preferences and do not disturb

Each user decides which events notify them; per conversation, "everything / mentions only / muted". Do-not-disturb hours can be set.

  • Real-time stream

New messages, moved cards and changed statuses land on the page instantly — without a refresh.

  • Live presence

Online indicators, typing signals and who is in a document; state stays in sync across tabs.

  • Personal reminders and announcements

Remind yourself of a card or a document, pick a time, snooze it; admin announcements appear on the home page with a priority marker.

RoomsFeatured

Meet without leaving your workspace

Video and voice rooms on your own server — with a small call window you keep open while you work, and live captions everyone reads in their own language.

Rooms07/18

  • Video and voice rooms

Spin up named rooms and join with a click; open voice-only rooms too. See who's already inside before you enter.

  • Calls in a floating window

Keep a call open in a small window and move between boards, documents and chat without dropping it.

  • Moderation and participant limits

The host can mute a participant or remove them from the room; a total occupancy ceiling means rooms never overload.

  • Screen share, background and reactions

Share a screen, blur your background on-device, raise a hand, react with an emoji, and keep the in-call chat open for the whole meeting.

  • Live captions in over 50 languages

Everything spoken is transcribed and translated as it happens; each person picks the language they speak and the language they read separately, and can change either mid-call. The full transcript downloads as TXT, and nothing is written to the server. Optional: it runs on your own speech and translation API keys.

  • Guest access

Send someone without an account a link valid from 1 hour to 30 days, or with no expiry at all; an expired link closes itself, and you can revoke any link at any time.

  • Device selection and audio meter

Microphone, camera and speaker selection, a speaker test, a live microphone level.

  • Live occupancy and booking

The current participant count of every room in the lobby; reserve a room for a given hour within the team and it shows up on the calendar.

Calendar

One calendar for every module

Card due dates, on-call shifts, reminders, callbacks, room bookings, leave and announcements — every date that lives in a separate module, in a single month view.

Calendar08/18

  • Seven sources, one view

Cards, on-call shifts, personal reminders, help desk callbacks, room bookings, leave and announcements.

  • Source filters

Show only shifts or only cards; filter chips narrow the month view instantly.

  • Fast month navigation

Jump back to today, move forward and back; entries that don't fit in a day expand with "+n more".

  • Click an entry, go to its source

Every item on the calendar links to its own card, ticket or room.

  • Aware of leave

With the HR module on, people on leave show a badge on team screens; planning never collides.

  • Public holiday awareness

Turkish public holidays don't count as working days in SLA and leave calculations.

External BookingFeatured

Let visitors book from your site and join the call with one click

A visitor to your website picks a free slot, reserves your room, and joins the call straight from their browser when the time comes. No account to create, no extra tool to install — the meeting happens in your Papyro, on your own server.

External Booking09/18

Live example

RMOS runs its own booking page on this module. Pick a free slot and see the whole flow from the visitor's side.

Try the live booking page
  • Booking links

Define a link per meeting type: room, duration, weekly availability, buffer between calls, daily booking cap and the language of the page. Your booking page is ready the moment you save.

  • Live free slots

Visitors only ever see genuinely free times: internal and external bookings share one calendar, and the same slot can never be booked twice.

  • Time-boxed join links and countdown

The join link opens ten minutes before the meeting and expires when it ends. The booking page shows the time remaining; when it's time, you enter the room from the same page.

  • Confirmation, reminder and changes

A confirmation email with a calendar attachment and a reminder before the call; visitors cancel or reschedule their own booking without creating an account.

  • Host approval and email verification

If you prefer, every request passes your approval first; or the visitor enters a code sent to their email before the slot is locked in. No fake bookings.

  • Embed on your site

Drop a one-line snippet into your website and the booking screen renders inside your page — restricted to the domains you allow.

Help DeskFeatured

The support desk lives inside too — no second tool.

Run customer support where your team already works; no extra logins, and every ticket stays on your own server.

Help Desk10/18

  • Shared ticket pool

Incoming tickets land in one pool and are distributed automatically to available agents — no manual hand-offs. Agent status (ready, on a break, on a call) is visible live.

  • SLA, callbacks and automatic SMS

Track due times and scheduled callbacks; a warning before a breach, an email on breach. When a customer can't be reached, a "called, no answer" SMS goes out on its own.

  • Triage into developer tasks

Managers turn a tricky ticket into a software task with a due date, then follow it through until it's done and the customer has been called back.

  • Customer cards and history

Companies and contacts, the full support history, satisfaction and complaint records in one place. Remote access details are stored encrypted on the card.

  • Duty roster and shift pay

Plan who is on call; price weekdays, weekends, public holidays and special days separately so the rota and the payroll line up. A call outside working hours raises an audible alert for whoever is on duty.

  • Field visit reports

Engineers file a visit report for the customer they saw; managers review it and email it out without leaving the module.

  • Similar tickets

Open a ticket and see how the same symptom was resolved before and by whom — at this customer, or across every customer if you're allowed to look.

  • Reports that survive a board meeting

Daily volume, agent leaderboard, the customers raising the most tickets, type and module breakdown, open SLA breaches and an after-hours view.

  • VIP tiers and satisfaction

A priority tier per business; a customer satisfaction score on every closed ticket.

  • Custom roles and permission matrix

Roles specific to the support team; who can see what and who can assign, defined line by line. A stripped-down menu for staff who only use support.

Human ResourcesFeatured

HR runs where the team already works — files, leave and assets in one place.

Personnel files, leave tracking that follows Turkish Labour Law, timesheets, asset custody and expenses — on your own server, visible only to the people entitled to see them.

Human Resources11/18

  • Personnel files

One card per employee — position, hire date, contract type, emergency contact and contact details. Sensitive fields are encrypted at rest and readable only by HR.

  • Leave that knows the law

Annual entitlement is computed from seniority under Turkish Labour Law, and public holidays don't count as working days. Half-day and hourly leave, maternity, nursing, marriage and bereavement leave come ready; a cancelled leave restores the balance automatically.

  • Two-stage approval and collective leave

Route leave through the manager first, then HR; apply collective leave such as public holiday breaks to a department or to everyone in one go, with a preview first.

  • Timesheets

Clock-in and clock-out, a monthly timesheet, work patterns per person or per organisation; the period locks when it closes, exports as CSV and prints with signature lines.

  • Asset custody

Hand a laptop or a vehicle over with a printable custody form; the wet-signed scan attaches to the record and the return closes it.

  • Expenses, advances and salary calculator

One pipeline for expense claims and cash advances — receipts attached, approvals tracked, payouts marked when the money actually moves. An employer-cost calculator for managers is included.

  • Document archive with expiry tracking

Contracts, certificates and health reports live on the employee card; anything about to expire raises a reminder a week ahead.

  • Private by construction

Managers see a limited card of their own team, HR sees the rest, and every change lands in an append-only audit trail — recording which field changed, never the value itself.

Error tracking

Your error monitoring, on a board you already read.

Point your services at Papyro and production errors arrive as cards — grouped, counted and explained, without a second vendor holding your stack traces.

Error tracking12/18

  • Send errors from anywhere

A single HTTP request with a scoped API key is all it takes. Any language, any service — no agent to install.

  • Grouped, not spammed

The same error collapses into one card: occurrence count, first and last seen, release, endpoint and the last stack trace — all on the card.

  • Root-cause analysis as a draft on the card

Ask for an AI analysis of an error group and the likely cause, a suggested fix and a confidence level land on the card. If you'd rather stack traces never left your server, one setting turns it off.

  • Alerts where your team already looks

Each board can send error events to Slack, Discord, Telegram or your own service, with a test delivery and the last delivery status visible.

  • Mute the noise, keep the signal

Snooze an error group for a period or a number of occurrences. The timeline keeps recording spikes, escalations and regressions underneath.

  • Spike and regression detection

Errors piling up in a short time automatically raise the card's priority; if a closed error returns in a new release, the card reopens.

  • Daily digest and browser errors

An error summary email every morning; a ready-made endpoint for browser-side errors.

  • Triage and agent reports from your assistant

Error groups are MCP tools too: an AI assistant can list what is broken, mute the noise and write its findings to the card as a versioned report — every action audited.

AI & MCP

Your AI assistant and MCP, inside your workspace.

Papyro ships an MCP server, so any MCP client — Claude Code, Cursor or another — can read and write your boards and documents, on your server, under your rules.

AI & MCP13/18

  • Works with the assistant you already use

Point any MCP-capable client at your own domain — there is no Papyro cloud in between. Card images are passed to the assistant too, and it can write Markdown.

  • Twelve tools, not a chat box

List, create and update boards, lists and cards; read and write documents; leave agent reports; list and mute error groups. Real writes — scoped to what the caller is allowed to touch.

  • OAuth 2.1 or a scoped key

Your install is its own authorization server; clients identify themselves and get consent the standard way. Prefer a token? A read- or write-scoped API key works too.

  • Every call on the record

The admin console lists each connection and each tool call, so you can see exactly what an assistant did and when — the same clarity you get for a human user.

  • One switch and a usage budget

Turning MCP off rejects every connection instantly; switching it back on needs no fresh consent. Each connection runs under a usage budget, so a runaway agent burns its own allowance instead of your database.

  • Writing assistant in the editor

Summarise, improve, shorten, fix — on the selected text, previewed and approved before anything is written.

  • Label suggestions and resolution drafts

Label suggestions for a card, a resolution draft for a support ticket, root-cause analysis for an error card, plain-language commands for the data grid.

  • Your own key

A workspace-wide or personal OpenAI key; verified before saving, stored encrypted, daily usage counted surface by surface. With no key, AI doesn't even appear.

REST API & OpenAPI

A documented, versioned API

A versioned API for boards, cards, lists, documents, spaces and files; an OpenAPI schema and interactive docs served inside the app. Whoever writes the integration never has to ask anyone.

REST API & OpenAPI14/18

  • Versioned endpoints

The API version is a fixed contract; changes arrive in a new version, existing integrations don't break.

  • OpenAPI schema and live docs

The schema is served as JSON; the interactive documentation page opens from inside the app.

  • Personal API keys

Read- or write-scoped keys with expiry dates and a warning before they expire.

  • Bulk card creation

Many cards in one request for error pipelines and imports; if the same request arrives twice, nothing is created a second time.

  • Help desk endpoints

A customer lookup and ticket creation API — your phone system or web form creates tickets directly.

  • Rate limiting and safety

Separate read and write limits, retry-safe requests and client IP detection; abuse never strains the server.

Import & export

Your data leaves the way it came

Bring your Notion archive into a space as is; take a space back out as a Markdown zip with its hierarchy. Timesheets, activity logs and tables as CSV/Excel; the database is yours anyway.

Import & export15/18

  • Notion / zip import

Import a Notion export or a Markdown zip into the space of your choice; page tree and attachments are preserved.

  • Per-space Markdown zip

All documents of a space in one zip with their folder hierarchy; plain files you can move to any other tool.

  • Single document export

Download any document as Markdown or PDF; version history and comments stay with you.

  • Timesheets and logs

Timesheets, the activity log, the security log and MCP call records export as CSV/Excel.

  • Migration from Trello, Jira, Excel

RMOS moves the data out of your current tools during setup and verifies it with you.

  • The database is yours

An open schema in PostgreSQL; daily backups run themselves, move it to another server, pull any report directly.

Team Activity

Who is working on what, right now

A live picture of the team: recent actions per person, workload and a timeline — without asking, without a meeting. Visibility for managers, without making the team feel watched.

Team Activity16/18

  • Live board

The card, document or ticket everyone is working on, on one screen; data refreshes within seconds.

  • Per-person timeline

One person's actions through the day in order; which board, at what time.

  • Workload breakdown

Open, overdue, blocked and completed this week — at person and team level; assigned open cards expand inline in the row.

  • Pinned mini panel

Keep Team Activity open in a small panel at the bottom right; glance at it while you work.

  • Integrated with Insights

The same data is summarised in the Insights module as a heatmap, streaks and priority flow.

  • Super admin only

Only the super admin sees this screen; team members follow their own activity in Insights.

Insights

Who is doing what, without watching anyone.

Activity analytics built from the work itself — enough to see where the effort went, never enough to be a surveillance tool.

Insights17/18

  • A year at a glance

A daily activity heatmap over the window you choose, plus an hour-by-day distribution; busy stretches and quiet ones are visible without opening a single board.

  • Yours by default, the workspace if you may

Everyone sees their own activity. Workspace-wide numbers are gated behind an admin tier — a role decision, not a setting anyone can flip.

  • Streaks and active users

Current and longest streak, busiest day; daily, weekly and monthly active user counts.

  • Workload and output

Open, overdue, upcoming and blocked cards; completed work and cycle time; where urgent cards come from and how they flow.

  • Top boards, documents and people

The surfaces that actually carried the work, with a per-category breakdown of what kind of activity it was.

  • 30, 90, 180, 365 days or a custom range

Switch the window to match the question — a sprint retro and an annual review are not the same chart.

Developer tools

Eighteen everyday tools, zero external sites

JSON, HTML, Base64, JWT, hashing and more — all built in, so sensitive data never has to leave your server to reach some random web tool.

Developer tools18/18

  • Formatters & converters

JSON formatter, HTML formatter and minifier, an HTML editor with live preview, colour, string-case and timestamp converters, and a slug generator.

  • Encoders & decoders

Base64, URL encoder, JWT decoder and a hash generator — all running locally in your browser.

  • Generators

UUIDs, strong passwords and lorem ipsum, generated on demand without leaving the app.

  • Testers & references

A regex tester, cron parser and an HTTP status-code reference, a keystroke away in the command palette.

Team culture

More than a tool: the team's daily rituals

Papyro isn't only where work gets done; with an anonymous suggestion pool, daily games and small surprises, it's a place the team drops by every day.

  • 01

    Complaints & Suggestions

Everyone writes, votes and comments with their identity hidden; management sees the trend, not the person. A weekly summary goes to management by email.

  • 02

    Daily games

Word Puzzle, Tango, Mini Sudoku, Zip, Queens, Nonogram, Hidden Object and Maze Ball — the same daily puzzle for everyone, with a monthly leaderboard. Admins switch each game on or off and set a daily play limit.

  • 03

    Guided tour and small surprises

A step-by-step tour on first login; mascots wandering the interface and a hidden game waiting to be found.

Security

Data stays inside — by architecture, not by promise

Papyro runs entirely on infrastructure you control; there is no provider between you and your data. You keep control of your KVKK and GDPR obligations.

  • Every document, board, message and file lives in your own database
  • Signed licence verified locally; works without internet too
  • No usage tracking, session recording or crash reports are sent out
  • Two-factor authentication (TOTP), an org-wide mandatory 2FA policy and re-authentication for sensitive actions
  • Passwordless email-code sign-in, self-service password reset, invite-based user creation and new-device alerts
  • Active session list, single and bulk session revocation, and backup recovery codes
  • Exportable activity log and security event log (CSV)
  • Daily database backup; weekly and monthly rotation, optional encrypted off-site copy
  • Public link registry: one-click revocation and a maximum lifetime policy
  • No vendor lock-in — export your database whenever you want
